JOBS DESCRIPTION:

- Front Desk Duties [rotation basis]
  • Keep front desk tidy and presentable at all times.
  • Field incoming calls and take messages when needed.
  • Attend to guests/clients and arrange for refreshments.
  • Manage conference room calendars.
  • Ensure the client area, including conference rooms are in a pristine condition at all times.
  • Make certain that the client lounge is fully stocked up.
  • Take regular inventory checks of food and beverage; and stationery items for guests.  Replenish as required.
  • Attend to incoming and outgoing mails. 
  • Update Office Calendar.
  •  Other work as assigned.   
- Secretarial Support [Legal Team only]
  • Provide administrative support to the Office Manager, the Office Services team and any work providers, as assigned.
  •  Input client contact details into Outlook database.
  • Schedule meetings. arrange conference rooms, update work provider's diary accordingly, and when necessary, book a car.
  • Attend to hotel and travel arrangements, including visa invitations and applications.  Place the travel arrangements in the traveller's diary and include all relevant information, such as flight time and flight number.
  • Support client activities and requirements in a proactive manner, liaising with clients e.g. take messages, pass on information, deal with simple queries.
  • Assist with travel advance, travel reimbursements and other reimbursements.
  • Attend to scanning, printing, faxing and other general administrative tasks.
  • Schedule appointments and meetings as assigned.
  • Organise lunch meetings, as required.
  • Set-up conference calls when requested.
  • Other work as assigned.
- Office Services Responsibilities [assigned individually]
  • Assist the Office Manager and any ongoing office projects as assigned.
  • Assist in organising office and client events.  Act as the host at social events and ensure the events run smoothly.
  •  Facilities management.
  • Oversee office cleaning personnel and services.
  • Responsible for office purchases which include, stationery, F&B items, printed materials and any other items required by the office.
  • Office keys management.
  • Maintain calendars such as Office Calendar, conference room calendars, etc.
  • Attend to Office Services mailbox (OfficeServices@bun-associates.com).
  • Other work as assigned.
- General
  • Continuous improvement on job processes.
  • Assist in office projects as and when assigned.
  • Diligent record keeping and filing of work matters for easy reference.

JOB REQUIREMENT:
  • Holds an undergraduate degree in any field, preferably in administration.
  • Other academic qualifications in English and related field would be an added advantage.
  • Experience a
    t least 2 years of relevant work experience.
  • Past work experience in hospitality industry would be a plus.
  • Skills, Knowledge and Characteristics
  • Possess good typing skills.
  •  Ability to learn new systems quickly
